Terms
Last updated: 4 November 2026
These terms explain how ordering from Final Register works, what you can expect from us and what we ask of you. Please read them before you set up an order or buy. We've kept them as plain as we can, but they are a legal agreement. You can print them or save this page for your records.
The short version
- Everything is made to order with your school's names. Parents can cancel up to the closing date, and schools until they pay. After that, only if something is wrong.
- If anything arrives faulty or isn't what you ordered, tell us and we'll put it right.
- Prices include VAT where it applies. Children's sizes and adult XS have no VAT.
- Delivery with the class order is free. Posting to a child's home is £5.94 per order.
- Orders arrive about 14 working days after the closing date, or after a school's invoice is paid.
- Nothing in these terms takes away your legal rights as a consumer.
Who we are
Final Register is a trading name of Rutland Merchandise Ltd, a company registered in England and Wales. Company number 09496176. Registered office: Unit 3 Pullman Trading Estate, Station Road, Uppingham, Oakham, Rutland, LE15 9TX. VAT number: GB126686685.
"We", "us" and "our" mean Rutland Merchandise Ltd. You can contact us by email at hello@finalregister.co.uk (the quickest way) or by phone on 01572 821665.
Who these terms are for
- Parents and carers who order and pay on a school's ordering page. You buy as a consumer, so you have the rights the law gives consumers, including under the Consumer Rights Act 2015.
- Schools that pay on one invoice, including a PTA or other organisation paying for the school. You buy as a business customer. A few parts below apply only to business customers, and they say so.
- Organisers: the person who sets up the order for the school, such as a teacher, a member of staff, a PTA member or a parent with the school's OK. When you set up an order, you agree to these terms on the school's behalf.
If you're a consumer, nothing in these terms affects your legal rights. Citizens Advice (citizensadvice.org.uk) can tell you more about them.
How an order works
- The organiser signs in and sets up the order: the garments, colours, design, class list, closing date and who pays.
- The organiser checks and approves the proof, and confirms the school has permission to print every name.
- We check everything. Then the school's private ordering page goes live, with its own access code. (When the school pays, a page for gathering sizes goes live instead.)
- Parents order and pay by the closing date. Or, when the school pays, the organiser confirms the sizes and we send one invoice.
- After the closing date (or once the invoice is paid) we make everything together, pack it by class and deliver it.
There's more detail on How it works.
What organisers agree to
When you set up an order and send it for checking, you confirm that:
- you are allowed to set up the order for the school and, if the school is paying, to commit the school to paying for it;
- the school has permission to print every name on the class list, and the list is accurate;
- you have checked the proofs, including the spelling of every name, before approving them;
- you have the right to let us use any logo, wording or other material you send us, and using it won't break anyone else's rights;
- you'll keep the access code to the letter for parents, not a poster or the school's website, because it opens the class list;
- you'll keep your sign-in details to yourself.
Changes after you send it. Once a set-up is sent for checking, it's locked. If you need a change, email us and we'll reopen it. The closing date can only be changed at the school's request and with our agreement. If a child's name is missing or spelt wrongly, tell us before the closing date and we'll put it right.
Your logo. We prepare every logo for printing or embroidery and put a proof on your organiser page. If we haven't heard from you by the closing date, we'll go ahead with the logo as shown. You agree to this when you set up the order.
Things we won't print. We can refuse a name, nickname, initials, wording or logo that we reasonably think is offensive or would break someone else's rights. We'll tell you why. If it affects something already paid for, we'll refund it.
Prices and VAT
- Prices include VAT where it applies. Children's sizes and adult XS are zero-rated, so they have no VAT. Adult sizes S and up include VAT at 20%. A nickname has the same VAT as the garment it's on. Delivery charges include VAT at 20%.
- The price of each garment includes the back design with every name on the class list. Fronts, nicknames and home delivery cost extra, as shown on our Prices page.
- You pay the prices shown on your school's ordering page when you order, or on the school's invoice. We may change our prices for new set-ups, but not for an order you've already placed.
- If we ever make an obvious mistake with a price, we'll tell you before anything is made. You can then go ahead at the right price, or cancel and get a full refund.
Ordering as a parent or carer
- Open your school's ordering page with the access code. Choose your child's name from the class list, then the garment, colour and size, and any nickname or initials your school offers.
- You tick to confirm you're the child's parent or carer (or the student, if you're 18 or over and ordering for yourself) and that you agree to the name (and nickname) being printed.
- Check your basket before you pay. You can change or remove anything until you pay, and the checkout shows a summary before you confirm. Nicknames and initials are printed exactly as you type them.
- You pay by card on our secure checkout, which is run by Wix. We never see your full card details.
- Our contract with you starts when your payment goes through and we email you to confirm your order. Please keep that email.
- The back of every garment carries the whole class list, not just your child's name.
- These terms and our contract are in English only.
When the school pays
This part applies to schools and other business customers.
- The organiser enters each child's size (or lets parents choose sizes on a page with nothing to pay), adds any staff or spare garments, and presses "The sizes are final". The order must be at least 10 garments.
- Our contract with the school starts when the organiser confirms the sizes are final.
- We then send one invoice, at the same prices parents would pay, including nicknames at £4. You can give us a purchase order number to show on it. Your purchase order is for your records only: these terms apply, not any terms printed on it.
- The invoice is due 7 days after we issue it. You can pay by card through the link on the invoice, by bank transfer or by cheque.
- We start making the order only once the invoice is paid in full. It then arrives about 14 working days later. If payment is late, delivery will be later too.
- The school can cancel free of charge at any time before it pays the invoice. Once it's paid, everything is made to order, so it can't be cancelled unless something is wrong.
- If an invoice is still unpaid 30 days after its due date, we may cancel the order. We'll tell you before we do.
- For 8 weeks after the invoice is paid, the organiser can add late garments on the sizes page. These go on a separate invoice with a £5 late order fee and £5.94 delivery to school, also due in 7 days.
Minimum order
The minimum is 10 items per school in total, in any mix of the garments the school offers. If a school where parents pay has fewer than 10 items ordered by the closing date, we'll contact the organiser. We may agree a later closing date, or cancel the school's order and refund every parent in full.
Closing date and late orders
- The main order closes at the end of the closing date the organiser chose.
- For 8 weeks after that, parents can still order on the same page. A late order costs £5 extra per order, and it's posted to your home for £5.94 per order. We make late orders every 2 weeks, and they arrive about 14 working days after that.
Making and delivery
- We make everything for a school together after the closing date (or once the school's invoice is paid) and pack it by class.
- Orders arrive about 14 working days after the closing date or payment. At peak times it can be a day or two longer. Working days are Monday to Friday, not counting bank holidays in England and Wales or our Christmas break, which runs from Christmas Eve to the first working day on or after 2 January.
- We deliver to mainland England, Wales and Scotland only. We don't deliver to the Scottish Highlands, Northern Ireland or any island, including the Isle of Wight, Anglesey, the Isles of Scilly, the Scottish islands, the Isle of Man and the Channel Islands.
- With the class order: everything goes together, free, to the school or one other address the organiser chooses. When your child's order goes with the class order, it counts as delivered when it arrives there. The school then hands it out.
- Posted home: if the school chooses it, each order is posted to the address you give at checkout. Please make sure it's right.
- If we're going to be late, we'll tell the organiser as soon as we can, with a new date. If your order hasn't arrived 30 days after the date we gave, you can cancel it and get a full refund for anything not delivered.
There's more on our Delivery and returns page.
Cancelling
Parents and carers. Every item is made to your choices with your school's names on it. So the usual 14-day right to cancel an online order doesn't apply (regulation 28(1)(b) of the Consumer Contracts Regulations 2013). But nothing is made before the closing date, so:
- you can cancel your order by emailing us before the closing date, and we'll refund you in full;
- for a late order, email us straight away. We'll cancel and refund it if we haven't started making it;
- after that, you can't cancel for a change of mind or because a size you chose doesn't fit. If something is faulty or wrong, see If something is wrong.
Schools paying by invoice. See When the school pays.
When we might cancel. We may cancel all or part of an order if the school doesn't reach the minimum, if a garment isn't available in the colour or size ordered, if we refuse something under "Things we won't print", or if events outside our control stop us. Where we can, we'll offer you an alternative first. If we cancel, we'll refund you in full for what we cancel.
We refund to the card or account you paid with, within 14 days of agreeing the refund.
If something is wrong
We'll put it right if:
- an item is faulty or damaged, for example the print or embroidery is flawed or comes away when washed as the care label says;
- you got a different garment, colour or size from the one you ordered, or something is missing;
- a name, nickname or initials are printed differently from the approved proof or from what you typed.
These aren't faults:
- names printed exactly as they were on the approved proof, and nicknames or initials printed exactly as typed. Please check every name before approving. If a mistake was on the proof, contact us and we'll do what we can to help;
- a size that doesn't fit, when the garment matches its size guide;
- small differences between the colours on your screen and the real garment, or small variations in print position or garment measurements, which are normal for clothing made to order;
- normal wear and tear, or damage from not following the care instructions.
How to tell us. Email hello@finalregister.co.uk with your order number (or the school's name), what's wrong and a photo. Please tell us as soon as you can, ideally within 14 days of delivery. For consumers, this doesn't shorten your legal rights.
What we'll do. Usually we'll remake and replace the item at no cost to you, or refund you if you prefer. If we need the item back, we'll pay the return postage. As a consumer, the law also gives you these rights:
- within 30 days of delivery, you can reject a faulty item and get a full refund;
- after 30 days, you can ask for a repair or replacement. If that fails or isn't possible, you can have a refund or a price reduction;
- you can claim for up to six years after delivery (five years in Scotland).
Schools paying by invoice. Please check the class order when it arrives and tell us within 14 days of delivery about anything missing, wrong or damaged. We'll replace it or refund it.
Proofs, pictures and our designs
- Proofs and garment pictures show how the design will look. They're a guide: colours vary between screens, and real garments vary slightly.
- Our designs, design tool, proofs, pictures and website belong to us or the people we license them from. Proofs are watermarked and are only for checking the design and showing it to your school. Please don't use our designs or proofs to have items made elsewhere.
- You keep ownership of your school's logo and anything else you send us. You give us permission to use it to make your order, to show it on your proofs and organiser page, and to keep it in case your school orders from us again. We won't use your school's name or logo to advertise Final Register without asking you first.
Our responsibility to you
For everyone. We're responsible for loss or damage you suffer that is a foreseeable result of us breaking these terms or not using reasonable care and skill. Loss is foreseeable if it's obvious it would happen, or if we both knew it might happen when the contract was made. We don't exclude or limit our liability where it would be unlawful to do so. This includes death or personal injury caused by our negligence, fraud, and your rights as a consumer that items are as described, of satisfactory quality and fit for purpose.
Consumers. We supply items for private use. We're not responsible for any business losses.
Schools and other business customers. As a business customer you don't have consumer rights, so these limits also apply to you:
- we're not liable for loss of profit, income, business or goodwill, or for any indirect or consequential loss;
- our total liability for an order is limited to the price paid for that order;
- these terms, our invoice and the details confirmed in the set-up are the whole agreement between us.
These limits don't apply to parents and carers buying as consumers.
Events outside our control
If something outside our reasonable control delays or stops an order, such as severe weather, a postal or courier strike, a supplier failure or a power or IT failure, we'll tell you as soon as we can and do what we can to keep the delay short. If the delay is likely to be long, you can cancel and get a refund for anything not yet delivered.
Your personal information
We use personal information, including children's names, only as set out in our Privacy notice. We delete children's names from our records and files three months after delivery.
Complaints
If you're unhappy, email hello@finalregister.co.uk. We'll reply within 5 working days and try to sort it out quickly. If we can't agree, we'll tell you about an independent dispute resolution service and whether we'll use it. You can also get advice from Citizens Advice, or take a claim to court.
Other legal bits
- We may update these terms. The version on this page when you order (or, for organisers, when you send the set-up) applies to that order.
- We may transfer our rights and duties under these terms to another organisation. If we do, we'll tell you, and it won't affect your rights. You need our agreement to transfer yours.
- This contract is between you and us. Nobody else has any right to enforce it.
- If a court decides part of these terms can't be enforced, the rest still applies.
- If we don't enforce a term straight away, we can still enforce it later.
- These terms are governed by the law of England and Wales. If you're a consumer, you can bring a claim in the courts of England and Wales, or in Scotland if you live there. Business customers agree to the courts of England and Wales.
